Every renewal saves an owner roughly one month of lost rent plus the costs of make-ready, marketing, and screening. After 43+ years managing rentals across Tampa Bay, here are the ten retention practices our team applies on every property we handle.
1. Reply quickly — especially the first 48 hours
Residents who feel ignored within the first weeks of a tenancy renew at far lower rates. Set a 24-hour response standard for non-emergency requests, even if the answer is “we’re on it.”
2. Fix what is broken, fast
Slow maintenance is the single biggest predictor of non-renewal. A fixed dishwasher in 48 hours says more than any retention bonus.
3. Keep common areas presentable
Lawn care, pressure washing, and basic landscaping signal that someone is paying attention. Residents notice neglect long before they complain about it.
4. Offer renewal incentives early
A $200 carpet cleaning, a smart thermostat installed at no charge, or a modest rent freeze for a strong resident is cheaper than a turnover. We start renewal conversations 60–90 days before lease end.
5. Be transparent about rent increases
If market rent is up 8% and you are raising 5%, say so. Residents respect honesty about market conditions more than they resent the increase itself.
6. Respect the home
Florida Statute 83.53 requires at least 24-hour notice for non-emergency entry, between 7:30 AM and 8:00 PM. Going beyond the minimum — 48 hours when possible, scheduled around the resident’s availability — earns goodwill.
7. Screen well the first time
Retention starts with placement. A resident with stable income, clean rental history, and reasonable credit is the one who renews.
8. Communicate before, during, and after maintenance
Even when a repair takes time, the update prevents the resident from feeling forgotten. That update costs nothing.
9. Ask what they need
A 90-day check-in and a 6-month survey surface small issues before they become reasons to leave.
10. Apply rules consistently
Selective enforcement destroys trust faster than anything else. Apply the lease evenly, every time, to every resident.
